CLASSIFICATION TITLE: Maintenance Supervisor
 
DISTINGUISHING CHARACTERISTICS
 
The Maintenance Supervisor will provide direction, establish priorities, assign tasks, and coordinate work projects and the work assignments of other personnel.

Maintenance Workers and Maintenance Trainees
 
DUTIES AND RESPONSIBILITIES Responsible for coordinating and supervising the work of employees in the general maintenance and upkeep of buildings, grounds, and equipment.  Perform routine and extensive preventative maintenance and repair procedures on building, mechanical equipment and utility systems. Responsible for maintaining, electrical, plumbing, mechanical and all other related building systems.  Responds to all emergency calls in a timely manner and performs related duties as assigned.
 
General Maintenance, Repair of Buildings, Facilities, Equipment and Grounds
Insures that buildings and equipment are maintained in a safe, clean and orderly condition in accordance with health and fire regulations; maintains maintenance inventory records, key log and files; prepares reports; monitors maintenance schedules to assure tasks are performed in a timely manner; repairs and treats structures such as floors, showers, sinks, walls, roofs, stairways, and carpets, etc; cleans debris from roof gutters as necessary; troubleshoots, repairs and adjusts locks on doors, cabinets, desks, closets; repairs door hinges; cleans plugged key slots, garbage chutes and compactors; inspects various ventilation units; maintains hand and power tools in proper safe working conditions; maintains and services kitchen equipment; installs fire extinguishers and maintains a service schedule; monitors site deliveries; as directed, contacts appropriate outside agencies to schedule service, inspections, obtain required permits, and arrange for disposal of hazardous waste and chemicals; moves or arranges for moving of furniture and equipment; sets up and breaks down meeting room request; assist Manager with apartment condition inspections; performs lead functions as assigned by appropriate administrator.
 
a.             Carpentry: Performs rough and finished carpentry work in the repair of structures such as ceilings, walls, doors, fences, window frames, roofs, office furniture and shelves. Re-key and replace locks, doorknobs, and dead bolts.  Assure all building keys are properly tagged and secure at all times.
b.            Glazier: Removes broken glass from window(s) and secures building for safety purposes by boarding   up the window openings; replaces window and door hardware; replaces glass for windows, doors, and light fixtures.
 
c.             Electrical: Performs electrical repair work in wiring for switches, outlets, plugs, cables, power circuits and appliances; repairs and replaces lighting systems; inspects electrical systems for unsafe conditions; maintains and regularly tests working condition of safety equipment including fire alarm, emergency lighting, and intercom systems.
 
d.      Plumbing: Identifies plumbing problems; repairs and maintains plumbing leaks or breaks above and below ground; repairs and maintains appropriate functioning systems including sewer/supply lines and drains; replaces seals and other minor parts; maintains all underground water lines; maintains drinking fountains; repairs, replaces and maintains hot water heaters and other appliances.
 
e.       Painting: Applies and prepares various surfaces for paint, enamel, lacquer, varnish or stain; removes or paints over graffiti; repairs wall coverings.
 
f.       Grounds Maintenance: Maintains grounds in clean and orderly manner including mowing, trimming, aerating, fertilizing lawns and snow removal; waters grass; weeds; trims tree branches that create hazardous situations; cleans debris from grounds, pathways, and parking lots; salt grounds, maintains mowers, snow blowers and other related grounds equipment.
 
g.       Masonry: Lays forms, mixes, pours, finishes, and repairs concrete for sidewalks, pavers, ramps, and slabs.
h.      Safety/Security/Sanitation: Responds to, reports, and removes any safety hazards; reports and repairs damage to property; reports unauthorized visitors; secures gates, doors, windows, and grounds; sets alarm system; responds to emergency cleanups such as spills and clogged drains. Maintains security systems, fire protection equipment, entry systems and emergency power systems
i.              HVAC: Inspect, operate and maintain the heating, cooling, ventilation and boiler system. Clean or lubricate shafts, bearings, gears, or other parts of machinery. Test machinery or equipment to diagnose machine malfunctions. Perform routine maintenance on boilers, such as replacing burners or hoses, installing replacement parts, or reinforcing structural weaknesses to ensure optimal boiler efficiency.
j.       Vendor Management: Assure all vendors are adhering to all aspects of executed contracts. Develop scopes of work for small improvements/services and seek out qualified contractors to bid the work. Develop and maintain a working relationship with vendors, negotiating pricing, collaborating on approved vendor list, keeping vendor list updated and publishing the list for the property.
k.      Customer Service: Maintain company customer service standards. Respond to resident requests and work with resident to minimize/resolve problems and complaints. Follow through to ensure work is completed to residents’ satisfaction. Complete resident service requests and repairs within 48 hours.  Keeps, manager informed about the status of the request. Respond timely to all On-Call emergency requests. Record type and cost of maintenance or repair work.
l.       Safety: Be safe and always think safety. Furnish all employees a set of goggles, earplugs and particle masks for their use. Periodically check employees for use of safety equipment. Compose and update programs of emergency preparedness, maintenance and communication for severe weather and other emergencies. Possess a thorough knowledge of the State of Illinois Occupation Hazards and Corresponding Safety Precautions. 
m.     Preventive Maintenance: Adhere to the set preventive maintenance schedule.  Assure all daily, weekly, monthly and quarterly tasks are completed according to the schedule.  Assure the Maintenance Log book is updated weekly.
n.      Inventory/Stock: Process supply requisition for all supplies and tools. Link requested supplies to resident service request when applicable. Maintain inventories of supplies and assure that adequate supplies are on hand. Supervise the controlled stockroom; receives stock, verifies that all items shown on the shipping list were delivered in good condition and agree with the order slip.  Receives and maintains checkout tools and equipment; keep inventory control systems current, order replacement and spare parts, keep the stockroom clean and in order. Process weekly supply/equipment inventory reports detailing what’s on hand and what has been used. 
o.      Supervise and coordinate the work order system: receive written work orders from staff only.  Dispatch work order to the appropriate personnel; assure completed work orders are signed by the resident, initiate chargeback, if applicable.
p.      Administration: Maintain time and attendance records, including records on chronic absences and unauthorized leave.  Assist team leaders in carrying out the implementation of various policies, standards, procedures and programs relating to the overall maintenance and upkeep of the properties. Prepare weekly reports and incident reports in a timely manner. Process time off request and assure coverage.  Monitor employee’s compliance with the dress code and/or wearing uniforms.  Attire must be neat and clean at all times. Possess strong written communication skills necessary for completing forms necessary for the position and for completing log entries of daily/weekly accomplishments. Capacity to make independent judgments and decisions while working in the field.  Ability to work the after hour’s emergency shifts. Job includes the wearing of a cell phone and answering emergency calls from residents and staff (this is an ongoing aspect of the job and calls must be answered in a timely manner.)  Adeptness to handle difficult situations in a courteous and professional manner.  Capability and knowledge to work with strong industrial cleaners, pesticides, and disinfectants.
 
q.      Turnover: Prepare turnover timeline report. Clean, paint, make repairs, order replacement carpet and appliances when necessary. Check and repair all electrical and plumbing fixtures, window and door locks, etc., to ensure they work properly before the new resident moves in. Change all vacant unit door locks.
 
MINIMUM QUALIFICATIONS
 
Education, Training, and Experience
Any combination of education, training, and experience which demonstrates ability to perform the duties and responsibilities as described, including progressively responsible journey-level experience in building maintenance and repair and/or building trades.
 
Knowledge of:
Methods used in maintenance and building repair, including basic knowledge of uniform code books, electrical wiring, plumbing, carpentry, glass replacement, painting, and grounds maintenance including sprinkler systems; maintenance and repair of hand tools and gas-powered equipment; basic math; safety practices and procedures relating to the building trades.
 
Skill and Ability to:
Use a variety of hand tools and equipment; communicate effectively in both oral and written form; receive and give instructions, and prepare work orders and reports; measure distance and calculate quantities; read and interpret specifications and blueprints; perform a variety of physical labor including climbing ladders, bending, kneeling, reaching, and standing for long periods of time; lift and carry boxes, tools, equipment and materials; report projects needed to be serviced by outside contractors; maintain files and inventory records of supplies; set priorities; coordinate several projects simultaneously; forecast project problems and make adjustments; plan and coordinate work schedules; assist in training, planning and directing the work of other employees; provide technical support as the working lead; develop and maintain effective working relationships with other staff, students, and community. Possess basic computer skills.
 
Other Characteristics
Possession of a valid Illinois driver's license
Able to pass extensive background check & drug testing
Have an excellent driving record
Work weekends and available for emergency after hour calls
Have excellent written and verbal communications skills in English
Detailed orientated and works well in a fast pace environment
Able to climb ladders and lift a maximum load up to 75 lbs
Must have a reliable automobile
 
Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization.

Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to interpret miscellaneous drawings and schematics.

Reasoning Ability
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Licenses, registrations and a Valid Illinois Driver's License.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to stand; walk; use hands and finger, handle, or feel; reach with hands and arms; climb or balance; stoop; kneel; crouch; or crawl; and talk; or hear. The employee is occasionally required to sit. The employee must frequently lift and/or move more than 100 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and depth perception.

Work Environment
The work environment characteristics described here are representative of those which an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is frequently exposed to moving mechanical parts. The employee is occasionally exposed to wet and/or humid conditions; high, precarious places; fumes or airborne particles; toxic or caustic chemicals; outside weather conditions; risk of electrical shock; and vibration. The noise level in the work environment is usually moderate to occasionally loud.
